Position Overview

We are seeking a compassionate and detail-oriented Remote Intake Specialist to serve as the first point of contact for individuals and families seeking behavioral health services. This position plays a critical role in guiding clients through the intake process, verifying insurance coverage, scheduling appointments, and delivering an exceptional customer experience.

The ideal candidate will have strong communication skills, excellent attention to detail, and the ability to manage multiple tasks while maintaining confidentiality and professionalism.

Responsibilities

Client Intake & Customer Service

  • Answer inbound calls, emails, referrals, and inquiries from prospective clients and community partners.
  • Conduct intake screenings to determine service eligibility and needs.
  • Educate clients on available programs and services.
  • Schedule intake appointments and assessments.
  • Provide professional, empathetic, and responsive customer support.

Insurance Verification

  • Verify insurance eligibility and benefits.
  • Confirm coverage details, copays, deductibles, and authorization requirements.
  • Document insurance information accurately.
  • Maintain knowledge of Medi-Cal, commercial insurance plans, managed care organizations, and EAP benefits.

Scheduling & Coordination

  • Schedule and coordinate intake appointments.
  • Communicate with referral partners regarding client status and next steps.
  • Manage appointment changes, cancellations, and follow-up activities.
  • Collaborate with clinical and administrative teams to ensure smooth intake operations.

Crisis Escalation

  • Recognize potential mental health crises and safety concerns.
  • Follow established protocols to escalate urgent situations.
  • Document crisis-related interactions accurately and timely.

Documentation & Compliance

  • Maintain complete and accurate electronic records.
  • Ensure compliance with HIPAA and confidentiality requirements.
  • Support quality assurance and audit readiness through thorough documentation.

Qualifications

  • Previous experience in intake coordination, customer service, healthcare administration, call center operations, or behavioral health preferred.
  • Strong communication and active listening skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency with computer systems and electronic documentation.
  • Ability to work independently in a remote setting.
  • Knowledge of insurance verification processes is highly preferred.
